My client a leading public sector organisation based in Belfast is currently seeking a Full-Time Personal Assistant.
Hours: Monday - Friday, 9am-5pm
Pay: £ per hour
Job Summary:
To provide support to the Commissioning Lead in an efficient, effective and high quality manner and to act as a conduit to the Commissioning Lead and the local facilities within their organisation to ensure that effective communication is in place at all times. The post holder will be responsible for the co-ordination of their workload to meet the demands of the Commissioning Lead and for ensuring necessary follow up action and deadlines are met.
Main Responsibilities:
1. Responsible for the organisation and provision of Personal Assistant duties and support to the Commissioning Lead. This will include, diary management, dictation, word processing, mail management, file maintenance and the preparation of papers, reports, briefings etc.
2. Establishment of office procedures and the creation of a filing system for the office in line with records management requirements.
3. Research, collation and presentation of information and reports as necessary.
4. Taking appropriate action in relation to mail, telephone and other enquiries, ensuring effective messaging and 'bring forward' systems are in place and that the necessary follow up action is undertaken.
5. Drafting correspondence and reports on behalf of the Commissioning Lead.
6. To service all meetings, including the preparation and timely issue of agenda and papers, production of minutes and progression of business.
7. Responsible for initiating and follow up action arising from various meetings.
8. To maintain effective working relationships with key stakeholders both internal and external to the organisation, maintaining appropriate communication networks and presenting a professional image appropriate to the office of the Commissioning Lead.
9. To deal with the receipt, distribution and action of all mail and correspondence.
10. To liaise with the Department of Health and other external agencies on behalf of the Commissioning Lead.
11. To maintain diaries and make appointments and arrange meetings as required.
ESSENTIAL CRITERIA
Qualifications/Education and Experience
12. GCSE Maths and GCSE English (A-C) OR equivalent qualification to demonstrate literacy and numeracy OR higher qualification.
AND
2 A Levels or equivalent or higher qualification
AND
18 months relevant experience *
OR
3 years relevant experience *
(* Experience should include word processing, diary management, filing, storage and retrieval of information and working as part of a team).
13. RSA/OCR stage two word processing (both parts)
OR
At least 18 months' word processing experience
14. Minimum of one year's experience, in the past three years of using Microsoft Office (including Microsoft Word, Excel and Outlook)
15. Ability to handle confidential and difficult situation with discretion and diplomacy.
16. Ability to work on own initiative and as part of a team.
17. Input and retrieval of information from databases or other information systems.
18. Experience of minute taking is also essential.
Whilst elements of the essential criteria of the Personnel Specification will form the basis for shortlisting, these may become more stringent by tightening of the current criteria.
