JOB SUMMARY

The equip Programme has been initiated to replace the HR, Finance and Procurement Systems.

The Project Support Assistant will provide project support to HR team members who are taking a lead role in the design and implementation of equip in the Belfast Trust. The post holder will work with HR staff to ensure the co-ordination and smooth operation of all equip activities within the Directorate. They will work with HR team members to collate and progress actions related to readiness activities.

PRINCIPLE DUTIES OF THE POST

1. Provide full administrative support to the HR equip readiness agenda including making arrangements for meetings, taking notes, preparation of documents, planners and spreadsheets, dissemination of programme information.
2. Carry out project office functions including document control, report generation and distribution, maintaining all project files, collecting, chasing and maintaining project data.
3. Establish and administer processes and systems including: keeping all general/project documentation up to date, generating reports, setting up master data in order to provide accurate and timely management information as required.
4. Co-ordinate all data collection requests and returns, taking the necessary follow-up action to ensure deadlines for returns are met.
5. Monitor and control the quality and efficiency of all project related data.
6. Maintain up to date publication of all project documents for local readiness activities
7. Assist the HR Readiness Team in the development, preparation and maintenance of project plans.
8. Liaise with and support local readiness activities to ensure the co-ordination of activities and work-stream progress.
9. Participate in arrangements for specific projects/events. This may include arrangements for workshops, training programmes, seminars and communication events.
10. Act as reference point for all HR readiness requests and enquires ensuring where appropriate that these are recorded and actioned promptly.

11) Carry out various other tasks which may be assigned by HR staff leading on readiness activities.

Essential Criteria

Criteria

§ HNC/HND or equivalent/higher qualification in an administrative related field and 1 years' experience in a clerical/administrative role.

or

§ 4 GCSE's at Grades A-C including English Language and Maths or equivalent qualification and 2 years' experience in a clerical/administrative role.

or

§ 3 years' experience in a clerical/ administrative role.

AND

§ Experience of using Microsoft Teams to support with project management

SECTION 2: The following are ESSENTIAL criteria which will be measured during the interview/ selection stage:

· The ability to formulate and make sense of information from a variety of resources

· The ability to establish good working relationships with a number of key stakeholders

· The ability to use initiative to support timely project deliverables

· Effective planning and organisational skills

· Knowledge of the project support that is required to deliver project outcomes
