Overview
OTH - Service Administrator - Corkey House role at Presbyterian Church in Ireland. The position supports clerical, administrative and financial functions in line with the Christian ethos of the Presbyterian Church in Ireland.
Responsibilities and Duties
* Reception: be the first point of contact for callers and visitors; answer the phone and relay messages as required.
* Administrative: word process letters, minutes and reports; ensure stationery is stocked; take minutes at staff, residents and other meetings; perform general office duties (photocopying, post, filing); compile occupancy returns; assist the Service Manager with phone calls or documentation as required.
* Staff records: total staff hours, advise on timesheets; liaise with Payroll on pay, pensions, leaves; calculate holiday pay for relief staff; process staff expenses; ensure sick certificates are submitted and forwarded to HR; forward employee change forms and leaver forms to HR.
* Staffing: assist with covering off-duty, arrange agency cover; maintain up-to-date profiles and training/Registration for agency staff.
* Training: obtain quotations and book training; assist with E-learning; prepare staff training files; monitor training requirements and attendance; provide administrative support (e.g., photocopying delegate packs).
* Maintenance and housekeeping: ensure PAT testing and maintenance checks; obtain costs for large expenditures; book maintenance works including emergencies; liaise with handyperson; order chemicals for laundry, kitchen and housekeeping; monitor oil prices with suppliers.
* Financial: handle and record all monies (residents’ fees, personal allowances, petty cash) with the Finance Manager; order newspapers for residents; maintain expenditure records; check invoices and forward to Finance for payment; discuss budgets with Service Manager and Finance Manager; make lodgements; liaise with Health and Social Services Trusts regarding fees; explain fee procedures to relatives; ensure signed agreements with residents; ensure Social Workers forward relevant information to Brokerage for payments.
* General: perform any other reasonable duties for efficient administration of the Service.
Required Criteria
* Educated to GCSE level with English and Maths at Grade C or equivalent
* OCR (RSA) Stage II Word Processing or equivalent
* Minimum 2 years office experience
* Previous experience recording financial transactions
* Experience with Microsoft Office (Excel and Word) or equivalent
* Willingness to work additional hours
* Willingness to work within the Christian ethos of the Presbyterian Council for Social Witness
* Willingness to work outside usual office hours (e.g., occasional evening meetings)
Desired Criteria
* Understanding of the role of RQIA and other external auditing bodies
* Basic knowledge of Adult Residential Care policy and legislation
* Previous experience in a Residential or Nursing Home/Caring environment
