JOB TITLE: Transport Administrator JOB LOCATION: Belfast/Coalisland TERMS: Permanent, full time THE JOB We are seeking a proactive and organised Transport Administrator to support the day-to-day operations of our vehicle fleet. This role will play a critical part in ensuring our vehicles are compliant, cost-effective, well-maintained, and aligned with operational and safety standards. Reporting to the Head of Fleet, you will support procurement, compliance, maintenance scheduling, and driver behaviour monitoring. WHAT WILL YOU BE DOING? Provide administrative support to the Fleet team, ensuring records are accurate and up to date Maintain vehicle, driver, and asset records within fleet management systems and spreadsheets Assist with scheduling vehicle servicing, MOTs, inspections, and repairs, under direction Log vehicle defects, incidents, and damage reports, and ensure information is passed to the relevant team members Support vehicle handover and return processes, including documentation and record updates Process transport-related paperwork, forms, and documentation in line with internal procedures Raise purchase orders and track invoices for fleet-related costs, in line with agreed processes Assist with weekly vehicle check administration and follow up on missing or incomplete checks Respond to basic driver and staff queries relating to vehicles, servicing dates, and documentation Support new starter vehicle administration, including preparation of handover paperwork Maintain organised electronic and paper filing systems to support audit readiness Provide general administrative support to the wider Fleet team as required WHAT WILL YOU BRING? Previous experience in an administrative or support role (transport or fleet experience desirable but not essential) Strong organisational skills with excellent attention to detail Good time management skills and ability to prioritise tasks effectively Confident IT skills, including Microsoft Office (Excel, Outlook, Word) Clear and professional communication skills, both written and verbal Ability to follow processes and work accurately within established procedures A proactive and dependable approach to work Ability to work well as part of a team and support others Full, valid UK driving licence.
