1. Role Overview Administrative support, document control and record archiving for the operations and commercial teams who are responsible for maintaining the integrity of, safe operation of, and provision of an emergency response capability for the Mutual Energy assets, being: The Moyle Interconnector, a 500MW HVDC electrical interconnector linking the grids in NI and Scotland; and The gas transmission system (Premier Transmission Pipeline System), which currently transports all natural gas into Northern Ireland. Reporting to: Gas Operations Manager Area: Administrative Support for Operations & Control Contract: 12 months with the option of extension Location: Mutual Energy is based in Belfast; this role will be office-based. (Possibility of hybrid working dependent on meetings/events) Hours of Work: This is a full-time position. Standard hours of work are 9am 5pm, Monday to Friday. 1.1. Role This is a full-time role providing vital administrative support to the Operations Team. Responsibilities include coordinating meetings, handling incoming communications, maintaining organised filing systems, and assisting with daily office tasks. The ideal candidate is proactive, reliable, and able to manage multiple priorities with a high level of professionalism. 2. Typical Areas of Support As an Administrative Assistant, you may find yourself supporting areas such as: Indexing and archiving digital and paper records related to operational assets Managing communication with landowners and lessors of land parcels through which assets traverse Maintaining a log of landowner and third-party communications Assistance with administration purchase order generation, invoice tracking and budget reporting Scanning and indexing historic documentation relating to the operational assets Assistance with preparation of management reports Arranging efficient travel and accommodation, and assisting with expense preparation Fielding calls and queries secretarial first-line support Assistance to (and stand-in cover for) the Office Manager when required, e.g., when the Office Manager is on leave or requires additional support 3. Essential Criteria A minimum of two years experience in an administrative support role Excellent IT skills Word, Excel, SharePoint, etc. Ability to prioritise and organise own work Ability to work flexibly on own initiative Experience with invoice and purchase order processing 4. Desirable Criteria Previous experience of managing commercial travel and accommodation arrangements Experience of managing meetings and events Previous experience of document management/archiving High organisational skills 5.
