Working across both Belfast and Newry, you will play a central role in keeping operations running smoothly, supporting engineers and schedulers, and ensuring all contractual requirements are met to the highest standard. About the Role This position is essential to ensuring that service delivery is well-coordinated, compliant, and aligned with customer expectations. You will manage the administrative flow from initial job request through to completion, maintaining accuracy, communication, and efficiency throughout. Key ResponsibilitiesService & Task Coordination Log and manage incoming service requests with accurate data entry into the CAFM system. Track job progress from start to finish, ensuring updates are recorded and tasks are closed out on time. Communicate with engineers and schedulers to coordinate works and resolve administrative queries. Oversee all contract-related tasks including PPM, reactive works, remedial jobs, and quotations. Contract Administration Maintain clear, accurate records for all service documentation, KPIs, SLAs, and compliance logs. Assist Account Leads with report preparation, audits, and client information. Ensure all works meet contractual obligations and client requirements. Client & Internal Communication Act as a key contact for clients, providing updates on job statuses, documentation, and service delivery. Respond professionally and promptly to internal and external enquiries. Compliance & Documentation Control Ensure all files and documentation follow company and regulatory standards. Support the Service Delivery Manager in meeting KPI, SLA, and audit compliance. Process Improvement Identify opportunities to refine administrative processes and improve workflow. Contribute to a high-quality, customer-focused service environment. What Youll Bring We are looking for someone who thrives in an organised, fast-paced setting and has a strong eye for detail. Skills & Experience Experience in contract administration or service coordination, ideally within FM or a technical services environment. Strong organisational and administrative abilities with excellent attention to detail. Confident using Microsoft Office and CAFM/job management systems. Excellent interpersonal and communication skills. Ability to manage competing priorities in a busy operational environment. Understanding of KPIs, SLAs, and compliance processes.
