Belfast - Part-Time Operations Administrator Cityside Leisure and Retail Park

The main function of this role is to provide management support in the busy retail and leisure environment of Cityside Retail Park.
Cityside Leisure and Retail Park extends to 309,102 sq ft and is NI’s largest leisure and retail development located on the edge of Belfast City Centre. The property comprises leisure accommodation totalling 141,336 sq ft and retail accommodation totalling 128,980 sq ft.
The successful candidate will assist in the day-to-day operation of the scheme as a vital part of the centre management team and be responsible for the implementation of a diverse series of duties.
This is a part-time 24 hours per week position.
Key Responsibilities
1. Assist management in the day-to-day coordination and management of the centre’s operational activities
2. Provide administration support for the centre manager, clients, and visitors
3. Assist with supplier approval, contractor management, issuing permits to work, review of RAMS, and similar duties
4. Support proactive reporting alongside the Centre Manager and managing agent
5. Coordinate contracted cleaning schedules to maintain high standards
6. Liaise with security to ensure adequate coverage
7. Coordinate between customers, tenants, and managing agents for smooth operations
8. Assist with Health & Safety and Fire Safety compliance, including checks and risk resolution
9. Ensure compliance with all security, health, safety, fire, and welfare policies and legislation
10. Promote safety practices and report issues, accidents, or near misses
11. Attend and complete fire warden training as required
12. Act as tenants' point of contact during evacuations
13. Coordinate mall activities, including kiosk placement and invoicing
14. Maintain up-to-date and compliant contract documentation
15. Advise on energy efficiency and cost savings
16. Monitor and update social media platforms, including engaging with queries, sharing content, and promoting tenants
17. Visit tenants to stay updated on stock, and create multimedia content for social media
18. Utilize Microsoft Office Suite and social media editing apps such as Canva, Photoshop, and video editing tools
19. Perform any other reasonable duties as required
Skills, Knowledge, and Experience
1. Experience in administration, PA, or project management roles
2. Proactive with the ability to work independently and in a team
3. Excellent customer care, communication, and telephone skills
4. Strong organizational, administrative, and multi-tasking skills
5. Proficiency in Microsoft Office and social media editing tools
6. High accuracy and attention to detail
7. Interest and knowledge of social media trends
8. Creative skills in video and photography content creation and editing
9. Willingness to adapt and suggest improvements
