The Plant & Labour Senior Administrator plays a vital role in supporting the Plant Management Team and ensuring site teams have the resources they need. This position involves coordinating plant and equipment orders, maintaining accurate records, managing plant movements, and supporting operational teams with essential administrative processes. The successful candidate will contribute directly to the smooth running of our HS2 operations while upholding our values of being Responsible, Respectful, Relentless, and Resilient.
Key Responsibilities
Plant & Operational Support
* Manage plant hire, repairs, servicing, and ordering of consumables across multiple earthmoving sites.
* Schedule and book mobile plant and material deliveries to and from sites.
* Liaise with internal departments regarding plant issues and operational requirements.
* Complete Goods Receipt Notifications and maintain associated records.
* Create Purchase Orders (POs) using the Sage X3 accounting system.
* Maintain accurate plant records and documentation.
* Issue PPE and consumable items to site teams.
* Arrange OEM fitters for breakdowns, defects, and servicing.
* Order spares, fuel, oils, lubricants, AdBlue, and water.
* Liaise with the accounts team to resolve invoicing queries.
* Monitor and record plant hours using OEM onboard data systems.
* Maintain up‑to‑date plant records, work orders, repair logs, and servicing information on Microsoft Teams.
Administrative & Coordination Support
* Provide day‑to‑day administrative support to the Plant Management Team.
* Assist with operational queries and ensure accurate record‑keeping.
* Support colleagues across the project team as required.
* Undertake additional tasks as requested by the line manager.
What We’re Looking For
* Strong IT skills, including Outlook, Word, Excel, and Teams, with the ability to filter and sort large datasets.
* Ability to work at pace, managing multiple tasks and queries simultaneously.
* High level of accuracy and attention to detail.
* Clear and confident communication skills, both verbal and written.
* Experience working with site‑based and management personnel at all levels.
* A systematic and logical approach to operational challenges, with the ability to prioritise and delegate when required.
* Flexible and adaptable, able to respond quickly to changing requirements.
* Experience working with plant hire or transport companies.
* Basic knowledge of construction plant and machinery.
