The Office Manager will provide comprehensive and efficient administrative and business support to the Chair, Chief Executive, and Board Secretary. The post holder will be responsible for the day-to-day running of the Chief Executive and Chairs office, including managing staff, coordinating Board and Committee meetings, and ensuring the delivery of high-quality administrative services. This role requires significant office and team management expertise, advanced IT skills, excellent organisational ability, and the capacity to work under pressure while maintaining confidentiality at all times Key Duties & Responsibilities Administrative & Business Support Lead the provision of administrative and business services to the Chair and Chief Executives office. Manage all correspondence for the Chair and Chief Executive, drafting responses and delegating tasks where appropriate. Prioritise and action queries from internal and external stakeholders (including HSC bodies, MPs, and MLAs). Maintain effective filing and bring-forward systems to monitor correspondence and outstanding matters. Coordinate responses to Freedom of Information (FOI) requests on behalf of senior offices. Draft and process requisitions on the e-procurement system, ensuring approvals and funding are in place. Monitor and order equipment and supplies, maintaining stock levels for the office, Boardroom, and associated areas. Meetings & Events Support the planning and organisation of Board, Committee, and Senior Management Team meetings, ensuring compliance with Trust Standing Orders. Manage administrative processes for master files, Departmental circulars, and key meeting papers. Assist in the organisation of corporate events such as VIP visits, conferences, award ceremonies, and official openings, liaising with Trust Communications and external organisations. Arrange travel, accommodation, and event logistics for the Chair, Chief Executive, and senior staff. Staff & Office Management Line manage administrative staff in the Chief Executives office, delegating and monitoring workload to ensure standards and deadlines are met. Provide training and induction for administrative/secretarial staff. Contribute to staff recruitment, selection, and supervision in line with Trust policies. Ensure high standards of communication between the Chair, Chief Executive, and Non-Executive Directors. Develop local office protocols and procedures to support continuous improvement. Governance & Quality Ensure compliance with Trust policies and statutory requirements, including Equality & Diversity, Data Protection, Records Management, and Health & Safety. Analyse and monitor secretarial/administrative processes, making recommendations for improvements. Manage expenditure within allocated budgets and alert the Board Secretary to any potential overspend. Support the delivery of NED annual appraisals and Directors objectives.
