Hays are recruiting for an Administrative Officer on behalf of an educational institution. You will be primarily responsible for Postgraduate admissions and will also work closely with academic and professional support staff, you will be liaising with schools, colleges and directly with applicants.
Your new role
A detail-oriented and proactive individual to manage the end-to-end processing of postgraduate and doctoral applications. This role ensurespliance with admissions criteria, internal policies, and external regulations
1. Manage postgraduate and doctoral application processing, ensuring accuracy, consistency, andpliance with admissions criteria and regulations.
2. Ensure adherence to internal policies and external codes of practice
3. Support recruitment and Registry activities including open days, interviews, enrolment, and registration.
4. Act as first point of contact for applicants and stakeholders, providing guidance and escalating queries as needed.
5. Maintain and manage application systems, student data, and documentation.
6. Coordinate timetabling and room bookings in collaboration with academic staff.
7. Process AccessNI applications and ensurepliance throughout registration.
8. Prepare applicantmunications and support the annual application pack process.
9. Assist with data handling, reporting, and system updates to ensure data integrity.
10. Liaise with internal departments to share information and support Registry processes.
11. Identify progression opportunities for students and contribute to process reviews and audits.
12. Provide reception cover and general administrative support as required.
What you'll need to succeed
13. At least five GCSE passes or equivalent at Grade C or higher level qualification, to include qualifications that demonstrate literacy/ proficiency in English language and numeracy.
14. A relevant 3rd level qualification or equivalent business or similar
15. At least two year’s recent administration experience, preferably working in further or higher education in a student facing role.
16. Excellent IT skills, with demonstrable advanced knowledge and application of Microsoft Word, Excel and Outlook and using a management information system.
17. Excellentmunication skills, both oral and written.
18. Proven ability to work with a high level of accuracy in a deadline-driven environment.
19. Experience of dealing courteously and professionally with customers and colleagues and resolving customer queries.
