The Role
The Office Manager will be responsible for ensuring a smooth running of the Belfast office and company apartments while contributing to driving sustainable growth for the company. The successful candidate will perform a combination of administrative duties as part of this role working across a range of organisational functions including travel, procurement, finance and the receipt of daily deliveries.
Typical Job duties would include:
1. Manage the office schedule and correspondence.
2. Maintain and develop strong relationships with customers and suppliers.
3. Organise and co-ordinate office wide / company wide events.
4. Help with global travel arrangements, including managing and booking the corporate apartments.
5. Help with client networking events.
6. Provide additional administrative support to the management team as needed.
7. Help with employee orientation and training as needed.
8. Handle customer and vendor inquiries via phone, email and in person.
9. Keep the office, reception, common areas and boardroom organised and functional.
10. Prepare and print documents and electronic information as needed.
11. Coordinate with building management to address any issues with the office condition.
12. Receive/prepare large deliveries on a daily basis.
13. Greet office visitors.
The Ideal Person
14. Effective communication with people at different levels of the organisation.
15. Proficiency in Excel and Outlook and familiarity with various software applications.
16. Initiative, self-reliance and time management.
17. Awareness of business needs.
18. Ability to manage multiple projects simultaneously.
19. Previous office management experience desirable, though not essential.
