Equans is looking for a HR Administrator to join the Employee Services team based at Quorum Business Park, Newcastle. This is a permanent full‑time role (37.5 hours per week) with a competitive salary and benefits package.
You will be based in our modern Shared Services office in Newcastle, working with multiple teams to deliver excellent support across the business.
What will you deliver?
* Prepare, distribute and update HR & Payroll system information for new employee contracts, contractual amendments and leaver processes.
* Manage workload in line with payroll deadlines, internal SLA and KPIs.
* Initiate pre‑employment checks for roles requiring security vetting or client‑specific checks.
* Work directly with Hiring Managers and HR Operations to clarify onboarding, employee changes and leaver requirements.
* Request system configurations with the technical support team, test builds, and load to the live system.
* Maintain a thorough understanding of Terms & Conditions, updating contracts and systems and considering external process impacts.
* Calculate salary, allowance and deduction payments and record them in the payroll system.
* Apply National Minimum Wage legislation to employee pay during contract processing, advising hiring managers as needed.
* Check gross pay on payslips to confirm changes have processed correctly.
* Issue reference requests for new starters.
* Review returned documentation and ensure it reaches the correct recipient (Fleet, Pensions, Benefits).
* Track activities to provide Team Leaders insight for process improvements.
* Liaise with employees for the return of contractual documentation and bank details to ensure inclusion in payroll.
* Set up and maintain personal employee files.
* Coordinate audit activity for own work area with timely monthly sign‑off.
* Support the Team Leader in data collection and analysis (e.g., volumes of starters).
* Provide personal data in line with Equans standards and GDPR guidelines to HR and Data Privacy teams.
* Deal with queries from employees, managers and HR on all administrative processes and procedures.
* Manage own workload in line with service level targets.
* Support the maintenance of process documentation.
* Support the delivery of administrative duties as and when required for the Employee Services function.
* Identify and support process improvements to deliver best practice in HR administration.
* Deliver excellent customer service and provide a welcoming, efficient, helpful and informative service to all.
* Take on a role in the development and delivery of roadshows and customer meetings to promote the service and share knowledge.

Who are we looking for?
* Experience with HR & Payroll systems (SAP) – Desirable.
* Understanding of HR administration regulations and procedures – Desirable.
* Administrative experience – Essential.
* Working knowledge of Microsoft Office.
* Knowledge of current GDPR.
* Excellent attention to detail.
* Basic level of mathematical skills.
* Ability to prioritise and work with colleagues to meet deadlines.
* Basic DBS check – essential.
