Facilities Manager
Main Purpose of the RoleThe Facilities Manager is responsible for keeping all school sites safe, well‑maintained and running smoothly. This includes managing buildings, minibuses, contractors, improvement projects, and health & safety. The role works closely with the Head of Operations to ensure the school environment supports staff, pupils, and the school’s long‑term goals.
Key ResponsibilitiesHealth & Safety &pliance
1. Act as the school’s Health & Safety lead and Fire Officer.
2. Make sure all buildings meet legal standards and regulations.
3. Carry out and update risk assessments.
4. Keep records of fire, water, asbestos, legionella and other safety checks.
5. Ensure strong security procedures across all sites.
6. Deliver staff training related to H&S and fire safety.
Site & Building Management
7. Lead daily maintenance and ensure the school is safe, clean and presentable.
8. Coordinate both reactive repairs and planned maintenance work.
9. Manage contractors and ensure value for money.
10. Record and follow up on building issues through the school’s systems (, Parago).
11. Oversee grounds maintenance and ensure high cleaning standards.
12. Lead refurbishment, renovation and expansion projects.
Daily Operations
13. Be the main keyholder and ensure the buildings are opened, locked and secure.
14. Handle emergency cleaning if needed.
15. Respond to room‑booking requests and set up furniture/equipment.
16. Carry out basic repairs and check boilers, heating and ventilation systems.
17. Be available for emergency call‑outs.
Transport
18. Oversee school minibus operations.
19. Keep vehicles safe, roadworthy and serviced.
20. Plan routes and driver schedules.
21. Arrange training and insurance for additional drivers.
Budgeting & Procurement
22. Manage the facilities budget.
23. Monitor spending and make sure the school gets the best value.
24. Manage supplier contracts and service level agreements.
25. Keep accurate audit trails for all workpleted.
Stock & Stores
26. Ensure supplies are ordered, stored safely and delivered correctly.
27. Maintain stock records and return faulty goods.
28. Manage hygiene and hazardous material storage properly.
Safeguarding & Other Duties
29. Follow all safeguarding, child protection and school policies.
30. Report concerns immediately to senior leaders.
31. Maintain confidentiality.
32. Promote equality, diversity and a respectful school environment.
33. Attend required training and work positively with all staff and external partners.

Person SpecificationEssential Qualifications
39. GCSE Maths and English (Grade C or above)
40. Full, clean driving licence
41. Enhanced DBS
Experience
42. Experience in facilities or site management
43. Experience managing people
44. Strong Health & Safety knowledge
Skills
45. Good knowledge of building standards and maintenance
46. Able to manage projects and contractors
47. Practical hands‑on skills (DIY, manual handling, basic repairs)
48. Goodmunication skills
49. Strong organisation, time management and attention to detail
50. Able to work independently and as part of a team
Desirable
51. NEBOSH or IOSH qualifications
52. D1 licence
53. Trade qualification
54. Experience in a school, especially SEN
55. Supplier/contract management experience
56. First Aid, Fire Marshal training
