POSITION: Executive Administrative Assistant
2 Year (fixed term) Contract
Providing administration and project support around the delivery of Fleadh Cheoil na hireann
DEPARTMENT: Visitor Servicing and Destination Initiatives
REPORTING TO: Senior Visitor Services Project Manager
SALARY: £25,152 - £27,517

City centre location - office based 4 days and 1 WFH (may change after 6 months)

Purpose
This is an exciting opportunity to join the Visit Belfast team on a two-year fixed term contract. The post holder will primarily provide administrative support to the Visitor Servicing team.
Next year's Fleadh Cheoil na hÉireann will be the largest celebration of traditional Irish music and culture, hosted in Belfast for the first time. Visit Belfast is a key delivery partner for Belfast City Council.
The Executive Administrative Assistant will support various projects including Visitor Servicing, Volunteering, Ticketing, Accommodation sourcing, and promotion.
Duties and Responsibilities
* Assist in developing and maintaining the Fleadh information database.
* Support the Ticketing Supervisor with setup and updates using Ticketsolve platform.
* Report on Fleadh operations data.
* Update budget records and raise Purchase Orders.
* Assist in planning outreach/industry engagement events.
* Support Accommodation Manager and Client Services Manager with bookings and content from the accommodation sector.
* Update content on the Belfast Fleadh Pages.
* Coordinate meetings, update action plans and minutes.
* Manage team diaries for Fleadh events.
* Assist with training and briefings for Visitor Servicing teams and volunteers.
* Support staff/volunteer events and training materials.
* Compile information for reviews and briefings.
General Admin Duties
* Data entry on Salesforce (training provided).
* Analyze Visitor Satisfaction surveys.
* Maintain Health & Safety records.
* Assist with recruitment administration.
* Report weekly digital screen stats via Google Analytics.
* Support volunteer and project management.
* Other duties as assigned.
Person Specification
Qualifications
* Minimum 5 GCSEs including English and Maths.
* Degree or 3 years relevant experience.
Experience
* At least 12 years in a similar role.
* Proficient in Microsoft Office suite.
* Experience with filing systems.
Skills
* Excellent communication, organization, and time management skills.
* Ability to work independently and as part of a team.
* Attention to detail and good literacy/numeracy skills.
