Honeycomb Jobs is delighted to be working with our public sector client, to recruit a Personal Assistant / Executive Assistant for a short term temporary contract in Belfast. The Client - Our quasi-public sector client is an organisation who examine public sector departments and their agencies for financial audits with the results being reported to the legislature. The Role - primarily diary/calendar management and email inbox monitoring and management to include dealing appropriately and promptly with correspondence and follow up for the 8 members of the senior leadership team. Duties will include but will not be limited to: Managing diaries and arranging meetings. Dealing with telephone calls, emails and correspondence promptly including appropriate follow up and redirection. Providing administrative support to the 8 directors as may be required including drafting response to correspondence and data collation. Taking minutes at various meetings. Supporting events and meetings with setup arrangement and hospitality as required. Full word processing, spreadsheet and database service. Providing hospitality as appropriate. Maintaining and updating knowledge by identification of own training and development needs, updating skills and attending relevant training courses as agreed with manager. The Person As the successful candidate you will have the following background and experience: Essential: A minimum of 5 GCSEs at grade C or above to include English Language. At least one year's experience of personal assistant/executive assistant duties supporting senior management, gained within the last 5 years. Knowledge and practical experience of word processing, spreadsheets and databases. In addition to satisfying the above essential criteria applicants will also be expected to display the following qualities and skills and provide evidence of these at interview. a) Good communication and interpersonal skills. b) A high level of initiative, drive and motivation. c) A high level of confidentiality and discretion. d) Reliability under pressure and willingness to accept responsibility. e) Ability to work on own and as part of a team in a busy office. f) Well developed organisational skills.
