Office Administrator (Temporary, Part-Time)
Location: Belfast – Ormeau Road
Hours: 28 hours per week across 4 days (Mon, Tues, Thurs, Fri)
Working Time: 9:00am – 5:00pm
Salary: £12.70 per hour
Role Overview
We are seeking a highly organised and proactive Office Administrator to join our team on a temporary, part-time basis. This is a front-of-house role providing essential administrative support to multiple teams and ensuring the smooth running of the office.
Key areas of responsibility include:
1. Reception and Communication: Accurate message-taking and signposting to relevant services.
2. Facilities & Building Maintenance: Coordinating upkeep and reporting issues promptly.
3. Health & Safety Compliance: Supporting safe practices across the office environment.
Main Duties
4. Act as the first point of contact for visitors and callers, ensuring a welcoming and professional environment.
5. Handle correspondence and enquiries, including telephone and reception duties.
6. Process incoming mail and maintain accurate records in line with organisational policies.
7. Provide administrative support to the Senior Management Team and Board of Directors.
8. Collate, produce, and distribute organisational documentation and information.
9. Manage general office tasks such as ordering supplies, data input, organising meetings, and preparing refreshments for visitors.
10. Maintain booking systems for meeting rooms and organisational accounts.
11. Support health and safety compliance and assist with facilities management.
Essential Criteria
12. Business Administration qualification plus 1 year’s experience providing high-quality administrative support.
13. Minimum 2 years’ experience providing high-quality administrative support.
14. Experience minute taking
