Job Overview
As a Group, Conference & Events Executive, you will be driving groups, meetings & events enquiries from initial enquiry through to conversion and execution, and as an ambassador to the hotel, you will be an expert on all the facilities on offer with the ability to advise guests based on their individual needs. You will qualify leads, create proposals, follow through and convert business in line with the hotel's strategy. You will also conduct site visits ensuring all guests are dealt with efficiently and in a timely manner. The Groups, Conference & Events Executive will support the Groups, Conference & Events Manager and work closely with our Sales Manager, Revenue Manager & General Manager as well as with our colleagues to ensure deadlines are met and handovers to operations are seamless.
Key Responsibilities
* Drive group, meeting and event enquiries from initial enquiry through to conversion and execution.
* Advising guests on hotel facilities based on individual needs.
* Qualify leads, create proposals and follow through to convert business in line with the hotel’s strategy.
* Conduct site visits, ensuring guests receive efficient and timely service.
* Work closely with the Groups, Conference & Events Manager, Sales Manager, Revenue Manager and General Manager to meet deadlines and ensure seamless handovers to operations.
* Follow the hotel sales process, including directly answering incoming group and event enquiries, hotel site visits, event management procedures and accuracy of billing.
* Create event function sheets to accurately capture and distribute client requirements to the operations team.
* Manage pre‑event communication through emails & calls, conduct menu tastings, and follow up with post‑event calls.
* Ensure accurate and timely billing for all events.
* Handle unexpected changes or last‑minute requests with flexibility and a proactive approach.
Required Skills and Experience
* Excellent communication skills, both verbal and written, to interact with clients, vendors and hotel staff.
* Strong organisational skills – ability to manage multiple tasks, prioritise responsibilities and work effectively under pressure.
* Customer service focus – anticipate client needs, provide excellent service and resolve issues efficiently.
* Knowledge of groups and event planning, including logistics, catering, audio‑visual equipment and other details.
* Flexibility and approachability to think on the spot and quickly resolve issues.
* Organised with the ability to work on own initiative and exceptional attention to detail.
* Computer literate with experience of hotel PMS such as Opera OSEM or similar systems.
* Strong negotiation skills and a passion for driving conversion.
* Sales‑focused and enthusiastic with outstanding customer service skills.
* Flexible and capable of working well within a team.
* Minimum of 1 year’s experience working in a hotel sales team, with excellent verbal and written communication skills.
