The Administrative Officer will provide administrative and financial management support to the Partnership Manager, Operations Manager, the Board of Directors, Sub Committees, and other staff as required.
Key Responsibilities
* To be responsible for the general administrative tasks for the Partnership.
* To serve as the first point of contact for employees and visitors, answering phone
calls, responding to emails, and directing inquiries to the appropriate staff.
* To record the day to day financial transactions of the Partnership and provide
detailed financial information to the Partnership Manager and other members of
staff for Board reports, funding claims etc. as required.
* To prepare and issue invoices to Partnership suppliers as and when requested.
* To input suppliers and payments on the banking system. Lodging income and
dealing with banking issues.
* To assist with monthly payroll processing using the Partnership’s accountancy software.
* To assist with the year end accounts for the appointed auditors and liaise with them regarding any further information/documentation required by them.
* To assist with maintaining employment related services/records for the Partnership such as payroll and annual leave.
* To provide minute taking, collate papers, contact members and secretarial functions for Board and other meetings as required.
* To maintain activity records in respect of the work of the Partnership.
* To organise office supplies, ICT and office equipment maintenance and liaise with suppliers and contractors.
* To maintain policy records and official documentation within the Partnership on Health and Safety, Articles of Association, etc.
* To assist where required with seminars, workshops and indoor or outdoor events.
* To assist in maintaining of websites, online information, ebulletins and general communication of the organisation.
* To keep assets records and assist with office management, including Cyber Essentials and co-ordinating IT support.
* To work with other staff and volunteers to carry out any other duties required for the effective operation of the Partnership and its projects.
Length of Contract: Up until 31st March 2028 with probable extension subject
to funding
Salary: £10,772 (£30,162 pro rata based on 35 hours per week)
Hours: Minimum of 12 1/2 hours with additional hours likely
