Human Resources Administrator (Fixed term / Maternity Cover Contract) - Bury St Edmunds
The Role
We are looking for a Human Resources Administrator to join our team to support our delivery of professional HR services within Ashtons Legal and externally with client work – by providing administrative and operational assistance to the HR team.
Your main duties will include:
Generalist HR
* Providing full administrative support to HR Advisors and HR Manager on all areas including disciplinary, grievance, absence management, flexible working, performance management, maternity, redundancy etc
* Responsibility for the day to day running of the HR system, including inputting new starters, transfers, changes and leavers, implementing new processes, etc
* Completing the new starter process for all new joiners, including offer letters, contracts of employment, organising and arranging induction, liaising with new starters for DBS checks, reference checks, etc including collection of offer paperwork
* Completion of the leaver process, including organising and undertaking exit interviews
* Support the maternity leave process; completion of letters, maternity timelines and assist in meetings
* Assist with payroll process, ensuring all information is inputted and up to date
* Run the pension administration as well as making sure that the process are up to date and compliant with auto enrolment and assessing the workforce. Working closely with the benefit provider
* Preparation of salary review/bonus administration and letters
* Processing of occupational health referrals
* Referring ER cases where appropriate to HR Advisors
* Produce all reports for Risk, Business Development and IT when required
* Physical and electronic archiving and data destruction
* Ad hoc HR projects
* Be an active member of the firm’s Health and Wellbeing Committee, responsible for the administration of events and initiatives
Learning and Development
Work with L&D Advisor to manage the central learning and development inbox including:
* booking external courses within 24 hours of receipt of request
* manage requests for internal workshops
* managing subscription and membership renewals
* Provide technical support for the L&D section on the HR System
* Forward plan and ownership for the support of events and workshops by organising rooms, refreshments, equipment and materials required
* Responsible for the administration of our Apprenticeships including registering apprentices and monitoring levy budget
* Provide admin support to the L&D Advisor on Trainee Solicitor seat moves
* Monitor spend against budget and highlighting any potential issues and deficits
* Research potential content of external skills workshops so you are able to advise internal clients of suitable training course options
* Promotion and administration of all skills workshops internally
Recruitment
Work with the Talent Acquisition Advisor to complete the new starter process for all new joiners, including:
* managing, organising and arranging induction
* liaising with new starters for DBS checks, reference checks, etc
* preparation and collection of offer paperwork and ID documentation
* managing and agreeing start dates with new joiners and internal teams
* Attend recruitment events with the Talent Acquisition Advisor, including providing support on the preparation of promotional literature and giveaways
* Assist the Talent Acquisition Advisor with interview scheduling when necessary and during busy periods
Knowledge, skills and experience required
* A minimum of one year of admin experience in a similar environment
* Sound working knowledge of Microsoft Office, including Word, Outlook, Excel and Powerpoint
* You will need clear and concise communication skills, both verbally and written and with tact and diplomacy
* Be highly engaged and motivated, working well in a team environment and independently
* Strong time management and organisational skills
