Our HR department plays a vital role in supporting around 1,200 colleagues across the UK, delivering a full spectrum of services including recruitment and resourcing, compensation and benefits, performance management, employee relations, staff wellbeing, employment law guidance, compliance, diversity and inclusion, and maintaining e-personnel records.
In this role, you’ll be part of our HR Operations team, working closely with HR Advisors to support a wide range of generalist HR processes and activities. It’s a fantastic opportunity to gain hands-on experience, develop your skills, and contribute to the smooth running of a busy and collaborative HR function.
Responsibilities
HR Administration
1. Provide the HR Operations and Reward teams with administrative support for all generalist HR processes and procedures and help ensure the delivery of a quality service.
2. First point of call for all general HR enquiries (annual leave, sickness, HRIS etc). Manage the central HR inbox, responding as appropriate or escalating queries to a relevant colleague within agreed SLAs.
3. Manage the day-to-day HR administration and processes, including new joiners, probations, secondments, fixed term contracts, promotions, internal transfers, exit interviews, leavers, flexible working requests, family leave and some security clearances.
4. To update and maintain the HRIS (Cascade), ensuring employee records are accurate (conducting regular data audits) and update and maintain the HR e-filing system
5. Respond to all reference requests – pre-employment, mortgage, immigration etc
6. Prepare correspondence, meeting and attendance notes
7. Prepare and circulate reports on fixed term contracts, maternities, new joiners and leavers plus other ad-hoc reporting (sickness, annual leave, migrants etc)
8. Organise and deliver bi-weekly induction sessions
9. Update the HR intranet pages, posting online updates on the e-noticeboard and liaising with the Marketing Team as appropriate
Payroll, Reward and Benefits
10. Ensure payroll instructions are provided to the payroll team in accordance with payroll deadlines and SLAs
11. Assist with processing invoices, ordering vouchers and gifts etc
12. Respond to general payroll queries regarding payments and processes
Projects
13. Support the annual salary and promotion review process, assisting with all administration, including meeting invites, spreadsheets, moderation meetings and info packs for partners and managers
14. Assist with other cyclical HR projects, including practicing certificate renewal, Inclusion and Diversity Projects, Mental Health/Wellbeing, Policy Review etc.
15. Support with the preparation of annual audits (e.g. immigration, info security etc)
Experience and Knowledge
16. Strong academics with excellent literacy and numeracy skills
17. Excellent attention to detail with the ability to process large amount of employee data
18. Excellent time and organisation management skills including the ability to prioritise workload with conflicting deadlines
19. Strong written and verbal communication skills
20. A strong level of computer literacy including the ability to use MS Office (specifically Word, Excel and Outlook) to produce letters and communication, maintain records, cross check data between different systems and/or spreadsheets and use Outlook effectively to communicate
21. Ability to work closely with colleagues to deliver agreed objectives within timescales or SLAs
22. Experience of working in a HR administrative role is desirable, but not essential
