We have an opportunity for an experienced HR Administrator to join our Bathgate office. This is a varied and fast-paced role where you will provide efficient, accurate, and customer-focused administrative support to the HR function. The role is fundamental to ensuring smooth delivery of core HR processes across the employee lifecycle, supporting managers and employees with first-line HR queries, maintaining accurate HR records, and contributing to the overall effectiveness of the HR team. Key accountabilities Maintain accurate and up-to-date employee records in the HRIS, always ensuring data integrity and confidentiality. Prepare HR documentation including contracts of employment, offer letters, variations to contract, probation letters and leavers’ correspondence. Administer end-to-end employee lifecycle processes including onboarding, changes, and offboarding. Support the delivery of a professional and engaging induction process for new starters. Act as the first point of contact for routine HR queries via the HR inbox or system, ensuring timely and professional responses. Provide clear guidance to managers and employees on HR processes, policies and procedures, escalating complex matters to the HR Advisor where appropriate. Support the administration of sickness absence, performance and employee relations processes, including coordination of meetings, note-taking and documentation. Support payroll processing by providing accurate and timely information on starters, leavers, contractual changes and absence data. Assist with administration of employee benefits and ensure records are accurately maintained. Ensure HR files and records meet compliance, audit and data protection requirements. Support the HR team with audits, reporting and document control. Produce standard HR reports and metrics as required to support decision-making. Assist with HR projects and initiatives aligned to the People Plan. Identify opportunities to improve HR processes, templates and ways of working. Essential criteria Previous experience in an HR administrative or similar role. Strong attention to detail with accurate data input and documentation skills. Clear and professional written and verbal communication skills. Ability to prioritise workload and manage multiple tasks effectively. Ability to handle sensitive information with discretion and confidentiality. Strong organisational and time management skills. Proficient in MS Office applications (Word, Excel, Outlook). Desirable Experience using an HR Information System (HRIS). Knowledge of basic employment legislation and HR best practice. CIPD Level 3 (or working towards) or equivalent HR qualification. Experience in a multi-site or operational environment.
