The Junior Practice Assistant (SST) will provide administrative support and services to Associates, trainees and others supported by the Secretarial Services Team (SST).
Main responsibilities:
1. Print and scan materials
2. Prepare courier packages
3. Answer phones, route calls, and take messages
4. Update contacts in Outlook
5. Book travel arrangements through the Firm’s travel agency
6. Electronic and hard copy filing
7. Upload client documents via the SharePoint site or another internet site
8. Support on client intake (including engagement letters) and billing
9. Utilize and review materials from Service Centres, to ensure maximum usage of these services and accuracy of output, including Document Services (DCS) and General Admin Services (GAS) time entry, expense reimbursements, vendor invoices, and document edits)
10. Support logistics for external meetings, including the booking of meeting rooms (utilize GAS for internal meetings)
11. Support with inbox and diary management as required
12. Proactively support the team and demonstrate willingness to upskill and learn with others
13. Produce documentation for urgent jobs that are not suitable to be done by Document Services
14. Manage competing deadlines
Skills and experience:
15. Recent graduate or starting a new career with minimal experience in the corporate environment
16. Proficient in Microsoft Office Suite Word, Excel, Outlook, PowerPoint, Access, Teams)
17. Proactively seek to upskill
18. Able to provide support to team members
19. Strong communication skills, both written and verbal
20. Able to provide continual attention to detail in completing assignments
