Job Summary
This role requires a highly organised and proactive Office Administrator to support the day-to-day operations of Potter Cowan's Belfast HQ. This pivotal role ensures the smooth running of our internal processes, supports customer and supplier communications, and provides key assistance to our Business Development Unit. It's an ideal opportunity for someone who thrives on structure, precision, and cross-functional collaboration.
Key Responsibilities
* Provide administrative support across departments, including filing, data entry, and document control
* Manage inbound calls and emails with professionalism and accuracy
* Assist with order processing, delivery scheduling, and invoice queries
* Maintain accurate records across CRM, ERP, and finance systems
* Support diary management, meeting coordination, and travel arrangements
* Help prepare reports, presentations, and internal communications
* Assist the Business Development Unit with lead tracking, CRM updates, and appointment scheduling
* Monitor follow-up actions from internal and external meetings
* Ensure front-of-house standards are maintained, including tidy and organised workspaces, well-stocked supplies, and a welcoming reception/trade counter area for customers.

* Proven experience in an administrative or office support role
* Excellent communication and interpersonal skills
* Strong attention to detail and organisational ability
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook
