Job Overview
We are seeking a proactive and people-focused HR Administrator to join our dynamic HR team at the Gibtelecom Group. This role offers the chance to make a real impact by supporting employees across the entire organisation while driving forward key HR initiatives.
As HR Administrator, you will be involved in a diverse range of responsibilities. including recruitment, onboarding, payroll support, employee relations, employee engagement and policy development. You will play a pivotal role in shaping the employee experience from start to finish, with a strong focus on recruitment and offboarding Gibtelecom Group employees. This position requires excellent organisational skills and HR knowledge, with the ability to balance multiple priorities.

Role & Responsibilities
* Lead and manage end-to-end recruitment processes, including job postings, shortlisting, interviewing, and offers.
* Oversee onboarding and offboarding processes, including registration, vetting, contract preparation, probation paperwork, access pass photos, and outboarding
* Administer all aspects of employee lifecycle management, including contract renewals, probation reviews, fixed-term contract (FTC) negotiations, voluntary early retirement (VER) follow-up FTCs, and retirements.
* Prepare and issue payroll instructions to Finance, including new hires, exits, salary adjustments, tax codes, deductions (e.g., gym memberships, charity contributions, Christmas savings), and benefits administration.
* Manage employee benefits administration, including gym memberships, Simplyhealth enrolment/cancellations, and invoice verification.
* Maintain and update HR information systems (Cascade) and ensure records are accurate, up to date and compliant with GDPR.
* Acting as an ISO-27001 advocate, making sure HR processes align with compliant
* Liaise with Finance and auditors to provide employee data, documentation, and payroll movement reports as required.
* Support employee relations cases such as absence management, disciplinary, and grievance matters, ensuring consistent application of policies and legal
* Assist with policy development, HR compliance, and ISO 27001
* Promote employee engagement initiatives, ensuring clear communication and supporting a positive workplace culture.
* Manage the company's social media pages to support employer branding, promote the organisation as a great place to work, and share content that engages and informs followers.
* As an active member of the Employee Engagement Committee, contribute ideas and assist in the organisation of social events for Gibraltar
* Provide professional advice and guidance to employees, managers, and stakeholders on HR policies, processes and best practice.
* Undertaking ad hoc tasks as and when necessary to support the needs of the role and the wider team.
Qualifications, Skills & Requirements
Essential:
* Previous HR experience with strong working knowledge of recruitment and HR
* Good understanding of employment law and HR
* Excellent communication and interpersonal skills, with the ability to build positive working relationships at all levels.
* Highly organised with the ability to manage multiple priorities in a fast-paced
* Exceptional attention to detail and a high degree of accuracy in handling employee records, data, and HR documentation.
* Strong interpersonal skills with a demonstrated willingness and ability to work effectively with people at all levels with professionalism, empathy, and
* Proficient in the use of LinkedIn for professional purposes, including talent sourcing, networking, and supporting employer branding initiatives.
* Experience using HRIS systems and Microsoft Office
* A proactive, solutions-driven mindset with the confidence to work independently as well as part of a collaborative team.
* Discretion and integrity in handling sensitive and confidential
Desirable:
* HR qualification, such as CIPD or
* Working knowledge of IRIS Cascade HRIS
* Strong Excel
* Working knowledge of Canva graphic design
* Experience using social media platforms for professional purposes, such as support- ing recruitment campaigns, or employee engagement initiatives.
