Your new role
As Personal Secretary to the Executive Office, you will provide high-level administrative and secretarial support to both the Chief Executive and the Head of HR & Corporate Services. This is a dynamic and varied role requiring discretion, initiative, and excellent organisational skills.Key responsibilities include:
1. Acting as the first point of contact for allmunications to senior leadership.
2. Managingplex diaries and scheduling meetings.
3. Handling correspondence, telephone calls, and email enquiries with professionalism.
4. Preparing agendas, taking minutes, and coordinating documentation for key internalmittees andernance meetings.
5. Maintaining accurate records and filing systems (both manual and electronic).
6. Supporting the preparation of reports, statistical returns, and responses to external queries.
7. Providing cover for other administrative staff during periods of absence.
8. Assisting with medical correspondence and triaging queries to appropriate personnel when required.
This role also involves supporting emergency planning responses and ensuringpliance with internal policies including confidentiality, health and safety, and equality standards.
What you'll need to succeed
9. Proven experience in a senior administrative or secretarial role, ideally within a public sector or healthcare setting.
10. Strong proficiency in Microsoft Office applications.
11. Excellentmunication and interpersonal skills.
12. Ability to manage multiple priorities and work independently.
13. Experience in minute-taking andmittee support is highly desirable.
