Location: Belfast / Northern Ireland Offices
Hours: 15 hours per week
Salary: £25,000 - £28,000 pro rata, dependent on experience

About the Role

Staffline Recruitment Ireland is seeking a part-time HR Administrator to support our internal HR team across a wide range of administrative HR activities.

This role is ideal for an organised, detail-focused and professional administrator who enjoys variety, can handle confidential information with care, and is interested in developing their HR experience. You will support key areas including employee queries, payroll administration, recruitment coordination, onboarding, HR systems, reporting and compliance.

Key Responsibilities

Employee Queries and HR Administration

9. Manage HR inboxes and respond to employee queries in a timely and professional manner
10. Support with pay-related queries where appropriate
11. Assist with the administration of company reward schemes
12. Maintain confidentiality at all times
13. Ensure compliance with data protection regulations and internal HR policies
14. Provide general administrative support to the wider HR team

Payroll and Records

15. Support the accurate and timely processing of NI and ROI monthly payroll
16. Communicate employee changes to payroll, including pay adjustments and absences
17. Maintain accurate internal staff records
18. Ensure employee information is handled securely and accurately

Recruitment and Onboarding

19. Support the onboarding and offboarding of internal staff
20. Assist with internal recruitment administration, including job postings, interview coordination and offer letters
21. Support recruiting managers in following recruitment and selection policies and procedures
22. Help ensure new starters have the correct documentation, systems access and induction requirements in place

Learning and Development

23. Track internal staff performance reviews and training compliance
24. Provide administrative support for learning and development activity
25. Help update and coordinate the company's quarterly training calendar

Employee Relations

26. Support the HR Advisor with employee relations administration, including note taking where required
27. Represent the HR function in a professional, credible and trustworthy manner

Reporting and HR Systems

28. Prepare weekly and monthly reports for senior stakeholders
29. Provide HR data reports as required
30. Maintain and update employee records and organisational structures within HR systems
31. Monitor HR system data accuracy and support system improvements
32. Provide user support and escalate system queries to IT or external providers where needed
33. Support HR projects, system updates and process improvements

About You

Essential Criteria

34. Previous experience in an administrative role or similar position
35. Experience handling confidential information
36. Strong attention to detail and a high level of accuracy
37. Excellent organisational and time management skills
38. Strong written and verbal communication skills
39. Ability to manage multiple priorities
40. Professional, reliable and proactive approach
41. Ability to work independently and as part of a team
42. GCSEs or equivalent, including English and Maths
43. Strong Microsoft Office skills, including Word, Excel and PowerPoint
44. Full clean driving licence or access to transport for regular travel when required

Desirable Criteria

45. CIPD Level 3 in HR Practice, or working towards this
46. Degree in HR, Business Administration or a related field
47. Experience using HR systems or business support systems
48. Experience in recruitment coordination, onboarding or employee relations administration
49. Experience with reporting, analytics or data management software
50. Previous exposure to GDPR compliance and HR reporting
51. Experience supporting system implementations or data migration projects
