Responsible for the day‑to‑day supervision and management of all HR Administration and associated functions, ensuring administrative duties are performed in accordance with approved procedures and time‑scales.
Responsibilities
* Assist in recruitment and selection activities, including liaising with recruitment agencies, arranging interviews, posting job adverts on websites and administering post‑interview paperwork.
* Coordinate the probation process, ensuring managers have scheduled meetings and submit required paperwork.
* Maintain training and development records for staff.
* Oversee the leaver process: acknowledge resignations, calculate outstanding annual leave, and record exit interviews.
* Administer and update HR documentation in line with external advisor guidance and company policy.
* Monitor holiday, sickness/absence records and report exceedances to line management.
* Conduct DBS checks where necessary and keep right‑to‑work documents current.
* Monitor and maintain the Practice Bonus scheme, report on results against objectives.
* Correspond with external HR partners on policy development and implementation.
* Ensure administration duties are carried out on schedule and report to the management team as required.
* Collect and collate staff timesheets for payroll, proactively reminding managers of deadlines.
* Attend meetings, prepare agendas, write minutes and distribute them as needed.
* Promote equality and diversity within the organisation.
* Contribute to TGI‑Friday celebrations, sharing training and bonus information with teams.
* Complete the NHS Workforce census monthly.
Qualifications & Experience
* Proficient in Microsoft Office, including Outlook, and capable of learning new software.
* Experience building and maintaining professional working relationships.
* Excellent verbal and written communication skills, able to relate to people at all levels.
* Working knowledge of confidentiality and GDPR.
* Ability to work independently, with understanding of the role’s limits.
* Professional handling of sensitive personal information.
* Strong organisational and administrative skills with attention to detail.
* Reliability and trustworthiness demonstrated in prior roles.
* Positive team player with a proactive attitude towards change.
Desirable
* Experience working within an HR department.
